Traveling with kids? Every family member needs their own passport, regardless of age. Yes, even your six-month-old baby needs one. The good news is that children’s passports are valid for five years, while adult passports last ten years.

Entry Authorization: More Than Just Showing Up

Here’s where things get interesting (and potentially complicated). Many destinations require additional entry authorization beyond just your passport. Take Australia, for example: U.S. citizens need either a visa or an Electronic Travel Authority (ETA) before they can enter the country.

The ESTA (Electronic System for Travel Authorization) is required for U.S. citizens visiting many countries under the Visa Waiver Program. Think of it as a digital permission slip that costs around $21 and takes up to 72 hours to approve. The key word here is “up to”: sometimes it’s instant, sometimes it’s not, so apply early.

New Zealand has their own version called the NZeTA (New Zealand Electronic Travel Authority), and trust me, you don’t want to be that person trying to sort this out at the airport. These applications can take up to 72 hours to process, so plan accordingly.

Domestic Travel: It’s Not as Simple as You Think

Traveling within the United States? You still need proper identification. As of 2023, all domestic air travelers over 18 must present a Real ID-compliant driver’s license or another approved form of identification like a passport.

But here’s where it gets tricky for some travelers: not all state-issued driver’s licenses are Real ID compliant. That little star in the corner of your license? That’s your Real ID indicator. No star means you’ll need to bring your passport for domestic flights.

Enhanced Driver’s Licenses (EDLs) are accepted for land and sea border crossings to Canada, Mexico, and some Caribbean countries. They’re like the middle ground between a regular license and a passport: more secure than standard ID but not quite as universally accepted as a passport.

Cruise Ship Travel: A Special Case

Cruising presents its own unique documentation requirements. For closed-loop cruises (ones that start and end in the same U.S. port), U.S. citizens can often travel with just a certified birth certificate and government-issued photo ID. However, we always recommend bringing your passport anyway. Why? Because if you need to fly home from a foreign port due to an emergency, you’ll need that passport.

Health Documentation: The New Reality

While COVID-19 restrictions have largely relaxed globally, some countries still maintain health entry requirements. Certain destinations have long-standing requirements for specific vaccinations: yellow fever certificates for travel to parts of Africa and South America, for example.

Many countries now require passenger locator forms to be completed before arrival. These digital forms often generate a QR code that you’ll need to present at immigration. New Zealand’s Traveler Declaration, for instance, must be completed within 24 hours of your journey’s start.

Family Travel Considerations

Traveling with children requires extra attention to documentation details. In addition to ensuring every child has their own passport, families should be prepared for additional scrutiny at borders, especially when children don’t share the same last name as their traveling companions.

Single parents or guardians traveling with children should carry notarized letters of consent from the non-traveling parent. While not always required, having this documentation can prevent significant delays and questioning at immigration checkpoints.

For families with teenagers who might be traveling separately (think study abroad programs or visiting relatives), make sure they understand the importance of keeping their documents secure and accessible.

Business Traveler Essentials

Business travelers often have additional documentation needs. If you’re traveling for work purposes, some countries require specific business visas or letters of invitation from the hosting company. China, India, and Russia are particularly strict about business visa requirements.

Frequent international business travelers should consider enrolling in trusted traveler programs like Global Entry or TSA PreCheck. These programs can significantly reduce wait times and streamline the security process, which is invaluable when you’re trying to make tight connections.

Creating Your Document Backup Strategy

Here’s something that could save your entire trip: create comprehensive backups of all your important documents. Before you leave, scan and photograph both sides of your passport, visa pages, driver’s license, travel insurance cards, and any prescription information.

Store these copies in multiple places: save them to your phone, upload them to cloud storage like Google Drive or Dropbox, and leave physical copies with someone trusted at home. If you’re traveling with a companion, each of you should carry copies of the other’s essential documents.
